Appointments, Deposits & Cancellations

Deposits & Payment

A non-refundable deposit is required to secure all appointments.

Deposits reserve practitioner time, treatment rooms and clinic resources and are therefore non-refundable except where required by law.

The remaining balance is payable at your appointment unless payment has been made in full beforehand.

Cancellations & Rescheduling

If you cancel your appointment, your deposit will be forfeited.

Appointments may be rescheduled with a minimum of 72 hours’ notice, allowing your deposit to be transferred to your new appointment.

Appointments may only be rescheduled once.

If you are unable to attend the rearranged appointment, or request further changes, the appointment will be cancelled and your deposit forfeited.

Requests made outside normal opening hours will be treated as having been received on the next working day.

Late Cancellations & Failure to Attend

Appointments cancelled with less than 72 hours’ notice, or failure to attend without prior notice, will be classed as a late cancellation or no-show.

In these circumstances:

  • your deposit will be forfeited;
  • you may be charged up to 100% of the treatment cost;
  • deposits cannot be transferred to another appointment or treatment.

Late Arrival

Clients arriving late may have their appointment shortened where clinically appropriate.

If insufficient time remains to safely complete treatment, the appointment may be treated as a late cancellation or failure to attend and the relevant charges may apply.

Practitioner Cancellation

Whilst every effort is made to honour appointments, Glowing by Leah reserves the right to rearrange appointments due to practitioner illness, emergencies, equipment failure or other unforeseen circumstances.

Where this occurs, we will offer the earliest suitable alternative appointment and your deposit will remain valid.

Exceptional Circumstances

We appreciate that unexpected situations can occur.

Any discretion exercised regarding deposits, cancellations or appointment charges will be entirely at the discretion of Glowing by Leah and shall not create a precedent for future appointments.

Agreement

By booking an appointment, paying a deposit or attending the clinic, you confirm that you have read, understood and agree to these Terms & Conditions.

Membership Terms & Conditions

These Membership Terms & Conditions apply to all Glowing by Leah Memberships.

By enrolling in a membership, you agree to be legally bound by these Terms & Conditions. They form part of your agreement with Glowing by Leah and should be read alongside our general Terms & Conditions, Privacy Policy and any treatment-specific consent documentation.

Memberships are designed to support long-term skin health and aesthetic outcomes through clinically appropriate treatment planning rather than guaranteeing the same treatment every month.

Nothing within these Terms & Conditions affects your statutory rights under UK consumer law.

  1. Your Practitioner

Membership treatments are carried out by Glowing by Leah’s experienced aesthetic practitioners.

Whilst every effort will be made to ensure continuity of care, Glowing by Leah cannot guarantee that every appointment will be performed by the same practitioner.

Should your allocated practitioner become unavailable due to illness, annual leave, maternity leave, emergency, training commitments or other unforeseen circumstances, Glowing by Leah reserves the right to arrange treatment with another suitably qualified practitioner.

Where clinically appropriate, appointments may also be rescheduled to maintain continuity of care.

  1. Membership Term

Memberships are entered into for a minimum fixed term of 12 consecutive months, commencing on the date of enrolment.

By joining a membership, you agree to maintain your membership for the full minimum term.

Memberships cannot ordinarily be cancelled during the initial 12-month period except:

  • where required by law;
  • during the statutory cooling-off period (subject to Section 12); or
  • where Glowing by Leah agrees to an early cancellation in exceptional circumstances.

Following completion of the initial 12-month term, your membership will automatically continue on a rolling monthly basis until cancelled by either party by providing at least 30 days’ written notice.

  1. Monthly Payments

Membership fees are collected monthly by Direct Debit or recurring card payment using the payment method provided at enrolment.

Payments must be successfully received before membership benefits become available each month.

If payment has not been received:

  • appointments may not be booked;
  • treatments may not be carried out;
  • discounts and benefits may be suspended until the account is brought fully up to date.

Membership payments are non-refundable except where required by law.

Glowing by Leah reserves the right to review and amend membership pricing by providing at least 30 days’ written notice.

  1. Membership Benefits

Each membership includes the treatments, services and benefits associated with the selected membership tier.

Membership benefits:

  • are strictly for the named member only;
  • cannot be transferred, shared or assigned to another individual;
  • cannot be exchanged for cash or credit;
  • cannot be redeemed against previous purchases;
  • cannot be exchanged for alternative treatments unless recommended by your practitioner as part of your personalised treatment plan;
  • are only available whilst your membership remains active and all payments are fully up to date.

Unless expressly stated otherwise, membership benefits cannot be used together with:

  • promotional offers;
  • discounted treatment packages;
  • loyalty rewards;
  • introductory offers;
  • gift voucher promotions; or
  • any other percentage discount.

Only one promotional or percentage discount may be applied to any single transaction.

Membership pricing is exclusive to active members and may not be combined with any other promotional pricing.

Where products form part of a membership, availability remains subject to stock levels. If a product becomes unavailable, Glowing by Leah reserves the right to provide a clinically appropriate alternative of equivalent value.

  1. Unused Treatments

Memberships are intended to provide regular ongoing care.

Unused monthly treatment allowances:

  • cannot be exchanged for cash;
  • cannot be refunded;
  • cannot be accumulated indefinitely;
  • cannot be transferred to another member.

A maximum of one month’s unused treatment may be carried forward into the following calendar month.

Any unused treatment remaining after this period will automatically expire.

  1. Personalised Treatment Plans

Glowing by Leah believes the best aesthetic outcomes are achieved through personalised, medically led treatment plans rather than repeating identical treatments each month.

Your membership has been created to support your long-term skin health, wellbeing and aesthetic goals.

As your skin changes over time, your treatment requirements may also change.

At each appointment your practitioner will assess:

  • your skin condition;
  • your medical history;
  • medications;
  • previous treatment response;
  • treatment goals;
  • any contraindications;
  • clinical suitability.

Based on this assessment, your practitioner will recommend the most appropriate treatment at that appointment.

Accordingly, the treatment performed each month may differ from previous appointments.

The value of your membership will remain consistent with your selected membership tier, even where the recommended treatment changes.

Glowing by Leah reserves the right to:

  • substitute treatments;
  • alter treatment frequency;
  • postpone treatment;
  • modify treatment plans;
  • recommend alternative procedures,

where clinically appropriate and in your best interests.

Memberships are designed around clinical outcomes and should not be interpreted as guaranteeing the same treatment every month.

Clinical decisions remain entirely at the discretion of the treating practitioner.

  1. Booking Appointments

Appointments are always subject to practitioner availability.

Members are responsible for arranging their own appointments.

Whilst every effort will be made to accommodate preferred appointment dates and times, availability cannot be guaranteed.

We recommend booking appointments well in advance to avoid disappointment.

  1. Missed Appointments & Late Cancellations

A minimum of 72 hours’ notice is required to cancel or rearrange a membership appointment.

Appointments cancelled with less than 72 hours’ notice, or failure to attend an appointment without prior notice, will result in that month’s treatment entitlement being forfeited.

In these circumstances:

  • no replacement appointment will be offered;
  • no refund will be be given;
  • no treatment may be carried forward;
  • the monthly membership payment remains payable.

Repeated late cancellations or non-attendance may result in Glowing by Leah reviewing the continuation of your membership.

  1. Membership Cancellation

Cancellation requests must be submitted in writing by emailing:

Memberships are entered into for a minimum contractual term of 12 months.

Where cancellation is requested before completion of the initial term, the membership will remain active until:

  • the minimum 12-month period has ended; and
  • all contractual payments have been received.

Exceptional Circumstances

Glowing by Leah may, at its absolute discretion, agree to an early cancellation due to exceptional circumstances, including genuine financial hardship.

Supporting evidence may be requested.

Where an early cancellation is approved, all treatments, products and services received at discounted membership prices will be recalculated at their full standard retail value.

Any outstanding balance between the membership payments received and the standard retail value will become immediately payable before cancellation takes effect.

Approval of one request does not create a precedent for future requests.

  1. Cooling-Off Period

Under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, you have the right to cancel your membership within 14 days of entering into this agreement.

Where no membership treatments or benefits have been used, a full refund will be issued.

If you request treatment or receive membership benefits during the cooling-off period, you acknowledge and agree that:

  • you request immediate commencement of membership services;
  • you waive your right to receive a full refund if services have already begun.

Should you cancel within the cooling-off period after receiving treatment, you will be charged the standard retail value of all treatments, products or services received, less any membership payments already made.

  1. Membership Price Protection

Membership pricing applies only whilst your membership remains active.

If your membership ends for any reason:

  • previous pricing cannot be reinstated;
  • previous promotional offers cannot be honoured;
  • any future membership will be subject to the prices, benefits and terms available at the time of rejoining.
  1. Membership Suspension

Memberships cannot ordinarily be paused or frozen.

Requests to suspend a membership due to:

  • pregnancy;
  • serious illness;
  • surgery;
  • long-term medical treatment; or
  • other exceptional circumstances,

may be considered entirely at the discretion of Glowing by Leah.

Medical evidence or supporting documentation may be requested.

Approval of a suspension remains entirely at the clinic’s discretion.

  1. Failed Payments

If a scheduled membership payment fails, Glowing by Leah reserves the right to:

  • suspend all membership benefits;
  • suspend discounts;
  • postpone or decline appointments;
  • refuse treatment until the account is fully up to date;
  • recover outstanding payments due under the membership agreement.

Repeated failed payments may result in termination of the membership whilst preserving Glowing by Leah’s right to recover all outstanding contractual payments due for the remainder of the minimum membership term.

Outstanding balances may be referred to a third-party debt recovery agency where appropriate.

  1. Treatment Suitability

All treatments remain subject to:

  • medical consultation;
  • practitioner assessment;
  • informed consent;
  • clinical suitability.

Glowing by Leah reserves the right to postpone, modify or refuse treatment where it is considered medically inappropriate or unsafe to proceed.

Membership payments remain payable during any temporary postponement resulting from medical or clinical reasons.

  1. Medical Information

Members must inform Glowing by Leah before each appointment of any changes to:

  • medical history;
  • medications;
  • allergies;
  • pregnancy status;
  • breastfeeding;
  • recent procedures;
  • health conditions; or
  • any other information that may affect treatment suitability.

Failure to provide accurate medical information may result in treatment being postponed or declined.

  1. Annual Clinical Review

Your membership has been created to support your long-term aesthetic journey rather than guarantee a fixed treatment programme.

Regular clinical reviews enable your practitioner to ensure your treatment plan continues to deliver safe, effective and appropriate results.

Following these reviews, your practitioner may recommend changes to your treatment programme.

Any adjustments will remain within the value of your selected membership tier.

  1. Clinic Cancellation

If Glowing by Leah needs to rearrange an appointment due to practitioner illness, emergency, equipment failure or circumstances beyond our reasonable control, every reasonable effort will be made to offer the earliest suitable alternative appointment.

Where the clinic rearranges an appointment, members will not lose their monthly treatment entitlement.

  1. Membership Availability

Glowing by Leah reserves the right to introduce, amend, replace or withdraw membership packages for new members at any time.

Existing active members will continue to receive the benefits applicable to their membership unless notified otherwise in accordance with these Terms & Conditions.

  1. Changes to Membership Terms

Glowing by Leah reserves the right to amend these Membership Terms & Conditions, membership pricing or membership benefits where reasonably necessary.

Members will receive at least 30 days’ written notice of any significant changes.

Continued membership following the notice period will constitute acceptance of the updated Terms & Conditions.

  1. Liability

Glowing by Leah accepts no responsibility for delays or inability to provide treatment arising from circumstances beyond its reasonable control, including but not limited to:

  • practitioner illness;
  • equipment failure;
  • supplier delays;
  • utility failures;
  • acts of God;
  • government restrictions; or
  • other unforeseen events.

Nothing within these Terms & Conditions excludes or limits liability where such limitation would be unlawful, including liability for death or personal injury caused by negligence or your statutory rights under UK consumer law.

  1. Acceptance

By enrolling in a Glowing by Leah Membership, you confirm that you have read, understood and agree to be bound by these Membership Terms & Conditions.

These Terms & Conditions form part of your membership agreement with Glowing by Leah and should be read alongside our general Terms & Conditions, Privacy Policy and any treatment-specific consent documentation.

Loyalty Scheme Terms & Conditions

These Terms & Conditions apply to the Glowing by Leah Loyalty Scheme.

By participating in the Loyalty Scheme, you agree to these Terms & Conditions.

The Loyalty Scheme is designed to reward our valued clients for eligible purchases and may be amended or withdrawn in accordance with these Terms.

  1. Eligibility

The Loyalty Scheme is available to Glowing by Leah clients aged 18 years or over.

Participation is entirely at the discretion of Glowing by Leah.

Loyalty accounts are:

  • personal to the registered client;
  • non-transferable;
  • non-exchangeable;
  • not redeemable for cash.

Glowing by Leah reserves the right to refuse, suspend or terminate participation where fraud, misuse or breach of these Terms & Conditions is suspected.

  1. Earning Loyalty Rewards

Eligible loyalty rewards may be earned on qualifying purchases including eligible treatments, skincare products and selected services.

Rewards are currently issued for:

  • eligible treatments with a minimum spend of £50;
  • eligible online skincare purchases of £30 or more, excluding delivery charges.

The qualifying spend and earning criteria may be amended from time to time.

Loyalty rewards cannot be earned on:

  • memberships;
  • subscription plans;
  • gift vouchers;
  • treatment packages;
  • promotional offers;
  • discounted treatments;
  • postage or delivery charges;
  • any purchase specifically excluded by Glowing by Leah.

Rewards have no monetary value and cannot be exchanged for cash.

  1. Redeeming Loyalty Rewards

Completed loyalty rewards may be redeemed for the reward specified by Glowing by Leah at the time of redemption.

To redeem a reward:

  • the completed loyalty card or account must be presented before payment;
  • verification may be required by a member of the Glowing by Leah team.

Loyalty rewards:

  • cannot be exchanged for cash;
  • cannot be transferred;
  • cannot be partially redeemed unless agreed by Glowing by Leah;
  • cannot be applied retrospectively.

Loyalty rewards cannot be used together with:

  • memberships;
  • membership discounts;
  • promotional offers;
  • treatment packages;
  • introductory offers;
  • gift voucher promotions; or
  • any other percentage discount.

Only one promotional or percentage discount may be applied to any single transaction.

  1. Expiry & Forfeiture

Unless otherwise stated:

  • loyalty rewards expire 12 months after issue;
  • inactive loyalty accounts may be closed after 6 months without qualifying activity.

Lost, damaged or incomplete loyalty cards may not be replaced.

Glowing by Leah reserves the right to remove rewards or terminate participation where fraud, misuse or breach of these Terms is suspected.

  1. Changes to the Loyalty Scheme

Glowing by Leah reserves the right to amend, suspend or withdraw the Loyalty Scheme at any time.

Where reasonably possible, at least 30 days’ notice will be provided of any significant changes.

Unused rewards may expire following withdrawal of the scheme.

  1. Privacy

Any personal information collected in connection with the Loyalty Scheme will be processed in accordance with our Privacy Policy.

Information may be used to:

  • administer the Loyalty Scheme;
  • manage rewards;
  • communicate regarding your account;
  • provide customer support.
  1. Liability

Glowing by Leah accepts no liability for any loss of rewards arising from:

  • expired rewards;
  • lost loyalty cards;
  • technical failures;
  • misuse of the scheme;
  • circumstances beyond our reasonable control.

Nothing within these Terms limits your statutory rights.

By participating in the Glowing by Leah Loyalty Scheme, you confirm that you have read, understood and agree to these Terms & Conditions.

GBL Training Academy Terms & Conditions

Thank you for choosing GBL Training Academy.

These Terms & Conditions apply to all courses delivered by Glowing by Leah Training Academy.

By booking a course, you agree to these Terms & Conditions.

  1. Booking & Payment

Your course place is not confirmed until payment has been received.

Payment may be made by:

  • payment through our website;
  • PayPal Pay in 3 (where eligible);
  • bank transfer (where agreed).

Alternative payment plans may occasionally be offered at the discretion of Glowing by Leah and may be subject to additional charges.

Full payment must be received before the course commences unless otherwise agreed in writing.

  1. Student Cancellation

If you are unable to attend your course, please notify us as soon as possible.

Course fees are non-refundable and non-transferable unless Glowing by Leah agrees otherwise in writing.

Failure to attend does not entitle the student to a refund or transfer.

  1. Cancellation by Glowing by Leah

If Glowing by Leah cancels a course, students will receive either:

  • a full refund; or
  • the option to transfer to another available course date.

Glowing by Leah is not responsible for:

  • travel expenses;
  • accommodation costs;
  • loss of earnings;
  • any other consequential losses arising from cancellation.

Courses may also be cancelled where minimum enrolment numbers have not been reached.

Where possible, at least seven days’ notice will be given.

  1. Force Majeure

Glowing by Leah shall not be liable where a course cannot proceed due to circumstances beyond our reasonable control, including but not limited to:

  • severe weather;
  • government restrictions;
  • pandemics;
  • natural disasters;
  • power failures;
  • venue issues;
  • illness.

Where appropriate, an alternative course date or credit may be offered.

  1. Training

Course fees include training, course materials and certification where applicable.

Depending upon the course, students may also receive:

  • a training manual;
  • a certificate of completion;
  • CPD accreditation where applicable;
  • products and consumables required during training;
  • a Glowing by Leah goody bag.

Training content may be updated from time to time to reflect current best practice.

  1. Practical Sessions

Students will undertake supervised practical training where applicable.

Glowing by Leah will endeavour to provide suitable training models.

If a scheduled model becomes unavailable, Glowing by Leah will make reasonable efforts to source a replacement but cannot guarantee availability.

Practical training schedules may therefore be adjusted.

  1. Assessment

Successful completion of a course is subject to satisfactory demonstration of competence.

Where additional practical experience is recommended, students may be required to undertake additional supervised training, mentoring or shadowing at additional cost.

Successful attendance does not guarantee future insurance acceptance or regulatory approval.

  1. Photography & Confidentiality

Students may take photographs during practical sessions where permission has been obtained.

Course materials remain the intellectual property of Glowing by Leah.

Students must not reproduce, copy, distribute, sell or share training manuals or proprietary teaching materials without written permission.

Photographs or videos containing:

  • confidential course materials;
  • other students;
  • live demonstrations;
  • training models,

must not be published without appropriate consent.

  1. Client & Model Protection

Models or clients introduced by Glowing by Leah remain clients of the clinic.

Students must not directly or indirectly solicit, recruit or attempt to treat those clients outside the training environment.

  1. Professional Responsibility

Following completion of training, students remain entirely responsible for:

  • obtaining appropriate insurance;
  • complying with current legislation;
  • maintaining professional competence;
  • practising safely within their scope of competence.

Glowing by Leah cannot accept responsibility for how students subsequently practise.

  1. Changes in Regulation

The aesthetics industry continues to evolve.

Glowing by Leah accepts no liability for future legislative or regulatory changes affecting your ability to practise.

Course fees remain non-refundable should regulations subsequently change.

  1. Liability

To the fullest extent permitted by law, Glowing by Leah shall not be liable for indirect or consequential losses arising from attendance on a training course.

Nothing within these Terms excludes liability where such exclusion would be unlawful.

  1. Acceptance

By booking a course, you confirm that you have read, understood and agree to these Training Terms & Conditions.

Complaints Policy

At Glowing by Leah we are committed to providing the highest standards of patient care, customer service and professionalism.

If you are unhappy with any aspect of your experience, we encourage you to tell us so that we can investigate your concerns fairly and promptly.

  1. How to Make a Complaint

Complaints should be submitted as soon as reasonably possible by:

Where possible, please include:

  • your full name;
  • contact details;
  • appointment date;
  • practitioner (if known);
  • details of your complaint;
  • your preferred outcome.
  1. Acknowledgement

We aim to acknowledge complaints within five working days.

If further information is required, we will contact you as soon as possible.

  1. Investigation

Every complaint will be investigated fairly and objectively.

This may include reviewing:

  • consultation records;
  • treatment notes;
  • medical records;
  • photographs;
  • consent documentation;
  • correspondence;
  • discussions with the treating practitioner.

Where appropriate, independent clinical advice may also be obtained.

  1. Response

We aim to provide a full written response within 20 working days.

Where additional time is required due to the complexity of the complaint, we will keep you informed of progress.

  1. Resolution

Where appropriate, resolutions may include:

  • an explanation;
  • an apology;
  • corrective action;
  • remedial treatment where clinically appropriate;
  • another appropriate resolution.

Each complaint is assessed individually.

  1. Respectful Behaviour

We are committed to treating every client respectfully and expect the same courtesy towards our team.

Aggressive, abusive, threatening or discriminatory behaviour towards staff will not be tolerated and may result in appointments or future services being refused.

  1. Your Rights

This Complaints Policy does not affect your statutory rights.

Where appropriate, you may also seek independent advice or refer your complaint to the relevant regulatory or professional body.

  1. Policy Review

This Complaints Policy may be updated periodically to reflect changes in legislation, professional guidance or business practices.
